Track, organize, and manage customer leads effectively

Managing Your Leads

The Leads feature helps you track potential customers from first contact to conversion. Keep all your prospects organized and never miss an opportunity.

Accessing Leads

  1. Click Leads in the sidebar
  2. View all your leads
  3. Use filters to find specific leads

Lead List Overview

List Columns

Default columns show:

  • Name
  • Email
  • Phone
  • Source
  • Status
  • Created date

Customize View

  1. Click column settings
  2. Show/hide columns
  3. Reorder as needed

Adding Leads

Manual Entry

  1. Click Add Lead
  2. Fill in contact information
  3. Set lead status
  4. Add notes
  5. Click Save

Required Fields

  • Name (First, Last)
  • At least one contact method (email or phone)

Optional Fields

  • Company name
  • Source
  • Tags
  • Custom fields
  • Notes

Lead Sources

Automatic Capture

Leads auto-created from:

  • Messenger conversations
  • Booking forms
  • Landing pages
  • Questionnaires

Manual Sources

When adding manually, select source:

  • Website
  • Referral
  • Social media
  • Event
  • Other

Lead Status

Status Options

Track lead progress:

  • New - Just added
  • Contacted - Initial outreach made
  • Qualified - Shows real interest
  • Proposal - Sent quote/proposal
  • Won - Converted to customer
  • Lost - Not converting

Update Status

  1. Open lead profile
  2. Click status dropdown
  3. Select new status
  4. Change saves automatically

Lead Details

View Profile

Click any lead to see:

  • Contact information
  • Activity history
  • Tags and notes
  • Source information
  • Associated bookings

Edit Lead

  1. Open lead profile
  2. Click Edit
  3. Update information
  4. Save changes

Organizing Leads

Tags

Add tags to categorize:

  1. Open lead
  2. Click Add Tag
  3. Select or create tag

Example tags:

  • Hot Lead
  • VIP
  • Follow Up
  • Service Type

Filters

Filter your list by:

  • Status
  • Source
  • Tags
  • Date range
  • Search terms

Lead Activities

Activity Timeline

Each lead shows:

  • Messages sent/received
  • Status changes
  • Notes added
  • Bookings made
  • Emails sent

Add Activity Note

  1. Open lead
  2. Click Add Note
  3. Type your note
  4. Save

Import/Export

Import Leads

  1. Click Import
  2. Download CSV template
  3. Fill in your data
  4. Upload completed file
  5. Map columns
  6. Import

Export Leads

  1. Select leads (or all)
  2. Click Export
  3. Choose format (CSV)
  4. Download file

Deleting Leads

Single Delete

  1. Open lead
  2. Click Delete
  3. Confirm deletion

Bulk Delete

  1. Select multiple leads
  2. Click Delete Selected
  3. Confirm deletion

Warning: Deleted leads cannot be recovered.

Best Practices

  1. Respond quickly - Follow up within 24 hours
  2. Keep notes - Document all interactions
  3. Use tags - Stay organized
  4. Update status - Track progress accurately
  5. Clean regularly - Archive old leads
